Overview

PaperScan works with TWAIN and WIA scanners and accepts more than 100 document formats. Its OCR produces PDF output in more than 60 languages, and its export options span office files, images, web formats and archival PDFs. That makes it a practical choice when a scan needs correction or conversion before it is ready to share or file, rather than a fit for someone who only wants a basic scan.

Key features

Cleanup and annotation

Automatic deskew, rotation, border and punch-hole removal, blank-page removal, color adjustment, filters and effects address common scan defects in one workflow. A broad set of annotation tools—including highlights, freehand marks, shapes, lines, stamps, text and sticky notes—also supports review and markup. These tools are useful for document preparation; they may be unnecessary overhead for occasional, unedited scans.

Output, security and connections

Exports include PDF/A conformance levels and versions, PDF/UA, TIFF, JPEG, DOCX, XLSX, PPTX, TXT, RTF, ODT, SVG, HTML, DXF and other formats. That range gives users flexibility to produce searchable, archival or editable files. PaperScan can save to SharePoint on-premises or Online and send email through Outlook. It can read encrypted PDFs, create encrypted PDFs and support digital signatures.

Pricing

The Free Edition costs 0.00 USD per free and limits TWAIN/WIA scanning and import to 10 pages per batch. It is a sensible way to try the workflow or handle short jobs, but not a substitute for paid batch processing.

Home Edition costs 79.00 USD per once and removes the batch limit for TWAIN/WIA scanning and import. Professional Edition — single license costs 149.00 USD per once, also with unlimited batch processing, for one user on a single computer. Home fits an individual who needs longer batches; the single-user Professional license is the step up for a one-computer workflow needing Professional support. Professional Edition — site license costs 599.00 USD per once for up to 20 installations at one physical site. The volume license uses custom pricing for contracts covering more than 250 installations.

Home and Professional trials include all features for 30 days, require no credit card, and are blocked after the trial until unlocked with a license key. Legally purchased licenses are lifetime licenses, with free upgrades for medium and minor sub-versions within the purchased major version. Professional license owners are entitled to Help Desk technical support; guides, videos, FAQs and a glossary are also provided.

Platforms

PaperScan runs on Windows, with a minimum requirement of Windows Vista or higher and at least 512 MB RAM. Its Windows-only reach rules it out for Mac and Linux users, regardless of their scanner.

Who it's for

PaperScan is a strong match for Windows users who scan batches, need OCR across multiple languages, or prepare documents for archival, editing or review. Its cleanup, annotation and output range are valuable when scanning is one stage of a document workflow. Someone who scans infrequently, needs more than 10 pages per batch without paying, or works outside Windows should look elsewhere.

Pros and cons

Pros

Broad input and output support: more than 100 input formats and exports spanning office, image, web and archival formats suit varied document workflows.
Useful preparation tools: cleanup, OCR, annotations and searchable PDF output can keep scanning and document finishing together.
Lifetime paid licenses: one-time pricing avoids a recurring subscription, with medium and minor sub-version upgrades included within the purchased major version.

Cons

Free batch limit: the 10-page cap makes the free edition a poor fit for regular long documents.
Windows only: users on macOS or Linux cannot use it.
Professional costs more for one seat: the 149.00 USD per once single-computer license costs substantially more than Home's 79.00 USD per once, so its support entitlement matters most to users who need that service.

Verdict

Choose PaperScan if you use Windows and need one application for batch scanning, OCR, document cleanup and flexible output, especially if searchable or archival files matter.
