Overview

The service combines case handling through a shared inbox with ticket automation, SLA management, a help center, and a customer portal. Teams can automate case creation, assignment, and resolution; collaboration tools include @mentions, co-owners, internal tickets, and work orders. Insights cover resolution time, workload, satisfaction ratings, and other metrics, useful for managers tracking both response operations and customer experience.

Vtiger integrates with more than 500 business applications. Its site links to a Security Center and GDPR Readiness information. The company, founded in 2004, says it powers more than 400,000 businesses globally.

Key features

Automated case handling: Automation across creation, assignment, and resolution can reduce routine routing work. It is most useful where teams have repeatable workflows; teams seeking only a shared mailbox may not need this breadth.
Service levels: First-response and resolution SLAs appear in the free plan, giving small teams a way to set service targets before committing to a paid tier.
Self-service: A help center and customer portal give customers routes to find information and engage with support beyond email.
Team coordination: Mentions, co-owners, internal tickets, and work orders support collaboration around a case. User management is also included among administration features.
Operational insight: Resolution time, workload, and satisfaction metrics help teams see throughput and customer outcomes rather than just ticket volume.

Pricing

Vtiger offers a free plan, paid plans from $12/user/mo (annual), and a 15-day trial that does not require a credit card. Yearly or monthly billing can be viewed, with yearly pricing saving up to 34%. Existing plans can be upgraded or downgraded at any point.

Plan	Price	What it adds	Best fit
One Pilot	Free, billed annually	Forever free; maximum 10 users and 3,000 records; Email to Case, First Response SLA, Resolution SLA, and Business Hours	Small teams validating a support process, provided the email and storage caps also fit.
One Growth	12.00 USD per month, billed annually	Maximum 15 users; case management, inbox, customer portal, articles and FAQs	Teams ready to move beyond the free record cap and wanting customer-facing self-service.
One Professional	30.00 USD per month, billed annually	Social ticketing, round-robin and least-loaded assignment, service contracts, live web chat	Teams that need more routing choices or web chat alongside ticketing.
One Enterprise	42.00 USD per month, billed annually	Work order management, internal ticketing, advanced operational features	Organizations coordinating internal work as part of service delivery.
One AI	50.00 USD per month, billed annually	Predictive AI, generative AI, voice assistant integration, chatbot	Teams seeking the listed AI and assistant capabilities.

The free plan allows up to 10 users and 3,000 records, with 1,000 emails per month and 3 GB of storage. Those caps make it a meaningful starting tier, but growing case volume or email traffic can force an upgrade even before the team needs more advanced features. Growth raises the user ceiling to 15; teams above that should confirm which plan accommodates their seats before choosing.

Paid plans are shown from INR 840 per user per month locally, alongside the USD annual plan prices. Local single-app and standard-user options are shown from INR 840 to INR 3500 per month, depending on tier and access type; USD prices are not displayed for those options. Standard users have full access to all apps and features, while single-app users have full access to one app and view-only access to the others. Check the locally displayed INR starting price alongside the annual USD listing when budgeting.

Platforms

Mobile apps are available for iPhone, iPad, and Android devices, and API access is supported. This covers mobile support work and integrations, though the platform range given does not establish availability on desktop operating systems.

Who it's for

Vtiger is a strong fit for small support teams that need SLAs and automation at no subscription cost, and for growing service operations that want portals, routing controls, or internal work coordination in one tiered product. It is less compelling for teams whose needs exceed the free limits but do not justify the next plan’s added bundle, or whose seat requirements do not fit the stated caps.

Pros and cons

Pro: The free plan includes up to 10 users, SLAs, and Business Hours, giving a small team useful service controls before it pays.
Pro: Automation spans case creation, assignment, and resolution, with insights for workload and satisfaction as well as resolution time.
Pro: The annual paid tiers separate routing and chat, internal coordination, and AI features, so teams can choose based on the capabilities they need.
Con: The free plan’s 3,000-record, 1,000-email monthly, and 3 GB storage caps can constrain a team as its queue or correspondence grows.
Con: Growth is capped at 15 users, so larger teams need to assess higher-tier fit rather than assume the entry paid tier scales with headcount.
Con: The locally shown INR per-user prices and annual USD plan prices use different presentations, which makes direct budget comparison less straightforward.

Alternatives

For a broader comparison, browse Help desk software.

Chatwoot is worth considering when open-source deployment options matter; its free Hacker plan supports up to 2 agents and 500 conversations per month.
Desk365 may suit teams that can work within a free allowance of 50 tickets per month or want the stated 200 GB attachment storage on Standard.
Intercom is a paid alternative with an Essential plan at 19.00 USD per month, billed annually per seat, including a shared inbox and ticketing system.
Help Scout is a free-tier alternative for a small team whose needs fit 5 users, 1 Inbox, 1 Docs site, and 100 contacts per month.
Freshdesk offers a free program for 1–2 agents for 6 months, which may suit a short-term evaluation or small initial rollout.
Jitbit Helpdesk is an option for buyers considering a one-time perpetual license rather than a freemium subscription.
LiveAgent is another paid option, with a Small business plan at 15.00 USD per month billed annually for ticketing, live chat, a knowledgebase, customer portal, contact forms, and automation rules.
Comm100 Contact Center is an alternative to consider for contact-center needs.

Verdict

Choose Vtiger Help Desk if your team wants case automation, SLAs, and customer self-service, with a free tier large enough to establish a real workflow. Its strongest case is the combination of service controls and collaboration features across a tiered product. Look elsewhere if the free email, record, or storage ceilings are too restrictive, or if you need a clearly fitting seat allowance beyond Growth’s 15 users.
