Overview

RFP360.AI is a web- and API-based platform for buyers creating solicitations and suppliers preparing responses. It is strongest for organizations that want structured workflows on both sides of an RFP; the trade-off is a set of tight response and seat caps on the lower plans, alongside AI that still requires human judgment.

Buyers can build RFPs, RFIs, and RFQs from templates, route approvals, and set scoring criteria. Suppliers can draft proposals with AI-suggested answers and reusable material from a shared knowledge base. That breadth can keep solicitation and response work in one system, but buyers and suppliers have distinct plans and limits.

AI evaluation scores responses against criteria, flags outliers, and prepares executive summaries. Analytics include win-rate tracking, proposal engagement, vendor benchmarking, supplier scorecards, and historical analysis. These features can help organize comparisons and spot patterns; they do not make the decision. The registration agreement warns that AI output may be inaccurate, incomplete, or biased and leaves responsibility with users.

Security controls include AES-256 encryption at rest and in transit, role-based access, SSO, audit trails, access logs, version histories, and data residency and retention controls. The privacy policy says personal data is neither used nor shared with third parties for AI model training.

Key features

Buyer and supplier workflows

Templates, approval workflows, and configurable criteria give buyers more structure than a solicitation-and-email process. A supplier portal supports response collection, while reusable answers and attachments can reduce repeated drafting. Those benefits are most compelling for teams that handle recurring bids; the supplier plans top out at five responses per month, so frequent responders should check whether a custom arrangement is needed.

Evaluation and analytics

Automated scoring, outlier identification, and executive summaries can make large response sets easier to review. Win-rate and engagement tracking, benchmarking, scorecards, and historical analysis add a view beyond a single procurement cycle. The caveat is consequential: AI results are decision support, not a dependable replacement for checking evidence and applying human judgment.

Integrations and support

Plan descriptions include two-way sync with Google Drive and Microsoft OneDrive; the Buyer intelligence plan also names Salesforce and HubSpot. The custom enterprise plan adds custom integrations and API access, a dedicated account manager, personalized onboarding, and priority support. Registration advertises a 30-day trial with full feature access, no credit card required, a dedicated customer success manager, and 24/7 support and training resources.

Pricing

RFP360.AI uses a freemium model. Free plans are useful for trying a narrow workflow, but each caps activity at a single RFP and one seat. Paid plans are billed monthly unless noted otherwise:

Plan	Price and included limits	Best fit
Supplier Free Plan	0.00 USD per free, billed Monthly; 1 RFP response and 1 user seat	A solo supplier testing one response
Buyer Free Plan	0.00 USD per free; 1 RFP publish and up to 1 user seat	A buyer piloting one solicitation
Pay-per-RFP plan	100.00 USD per once, billed Per RFP; up to 50 reusable answers or attachments, 1 teammate, 200 AI credits	An occasional responder who prefers a one-time purchase
Supplier Starter	199.00 USD per month; 2 RFP responses per month and up to 2 user seats	A small team with limited monthly bid volume
Supplier Professional	299.00 USD per month; 3 RFP responses per month and up to 3 user seats	A team needing one more monthly response and seat
Supplier Enterprise	399.00 USD per month; 5 RFP responses per month and up to 3 user seats	A three-seat team that regularly prepares several bids
Supplier pro plan	399.00 USD per month; 5 RFP responses per month, up to 5 user seats, 1,000 AI credits	A larger supplier team needing more seats and AI credits at the same stated monthly price
Buyer intelligence plan	499.00 USD per month; up to 5 user seats and 1,200 AI credits	A buyer team that needs buyer intelligence and integrations with Salesforce or HubSpot
Buyer Intelligence	Custom pricing; billed Contact sales; 5 RFP publishes per month and up to 5 user seats	A buyer whose needs align with a defined publish quota but require a sales conversation
Custom enterprise plan	Custom pricing based on needs; custom integrations and API, dedicated account manager, personalized onboarding, priority support	Organizations that need tailored integrations or account support

The two supplier plans at 399.00 USD per month have different stated seat and credit allowances: Supplier Enterprise gives up to 3 seats, while Supplier pro plan gives up to 5 and 1,000 AI credits. That distinction matters for growing teams. The pay-per-RFP option avoids a recurring monthly commitment, but includes only one teammate and 200 AI credits per RFP.

Platforms

RFP360.AI supports web and API access. The custom enterprise plan explicitly includes API and custom integrations. A supplier portal supports response collection.

Who it's for

The product is aimed at government and public-sector organizations, suppliers and vendors, enterprises, and mid-market and growth companies. It is a better fit for teams with recurring RFP work that can use templates, approvals, scoring, or reusable proposal content than for occasional users who need only a document editor. Buyers should weigh the publish quota and seat allowance; suppliers should compare their monthly response needs with the five-response ceiling on the stated supplier plans.

Pros and cons

Pros

One system covers buyer and supplier work. Solicitation creation, response drafting, collection, and evaluation address both sides of the RFP process.
Reusable content and structured workflows support repeat work. Templates, approvals, configurable scoring, and a knowledge base can make recurring bids more consistent.
Useful controls for sensitive procurement work. Encryption, access controls, SSO, audit trails, and retention and residency controls support governance needs.
A substantial trial lowers the cost of evaluation. The advertised 30 days include full feature access and require no credit card.

Cons

Free access is narrow. Each free plan allows only one RFP activity and up to one seat, limiting collaboration and ongoing use.
Supplier quotas remain modest. The highest stated monthly response allowance is five, which may not suit high-volume proposal teams.
AI needs review. The company explicitly warns that outputs can be inaccurate, incomplete, or biased, so teams cannot safely treat scores or drafts as final decisions.
Some buyer and enterprise costs require a sales conversation. Buyer Intelligence and the custom enterprise plan use custom pricing.

Alternatives

RFP Software is the broader category directory for comparing options. Consider these listed alternatives when their focus or plan structure is a closer match:

BidNet Direct is worth considering for agencies focused on member-agency opportunities, bid browsing, submissions, and real-time bid matches; its Basic plan is free.
RFP Response Builder is an alternative for teams seeking a response-focused tool with a free trial and plans that include a five-user minimum at the Business Plan level.
RFP.ai may suit teams prioritizing a lower-priced starting point: its Starter plan is 49.00 EUR per month and includes five users, unlimited projects, 1M tokens, and 1K pages per month.
RFP.co is a lower-cost option for small response teams: its Starter plan is 29.00 USD per month for two users, two active response projects, one company profile, and ten proposal exports a month.
ARCUS eRFX is another paid, web-based option.
RFPilot may fit teams seeking a lower monthly starting price; its Starter plan is 29.00 USD per month and includes 25 RFP projects and 500 AI responses per month.
TenderWorks is an alternative with a 30-day free trial that includes full platform access, document management, and dedicated onboarding support.
Responsive may suit organizations evaluating an annual platform subscription; its Emerging Edition starts at 10000.00 USD per year.

Verdict

RFP360.AI is a strong candidate for buyer and supplier teams that want repeatable RFP workflows, AI-assisted drafting and evaluation, and analytics in one platform. Its broad workflow coverage and security controls are the main reasons to choose it. Look elsewhere if your supplier team routinely exceeds five responses a month, your buyer process requires more than the stated seat or publish limits, or you need AI outputs that can stand without human review.
