Overview

The software brings reusable content, section assignments and response assembly into Word and Excel. Teams can work on RFP responses, proposals, statements of work, contracts and sales letters, with approval workflows and an RFP template library. It does not include a supplier portal or response scoring, so buyers who need either capability should consider another product.

The maker, RFP Response Builder, is based in Reston, Virginia, and was founded in 2020. The product is aimed at organizations across industries, from IT and marketing to investment management and construction. Its strongest case is for businesses spending more than five hours a month on RFPs, sales proposals and statements of work; occasional responders are less likely to benefit enough to justify a five-seat purchase.

Key features

Reusable content and assembly

The searchable content library sits inside Microsoft Word, where users can insert material into responses and add or edit library entries. Keeping reuse in the drafting environment can reduce the friction of finding approved material. The Content Outline divides a large RFP into sub-documents and automatically assembles them into a final response, addressing the coordination involved in producing a unified document from multiple sections.

Section ownership and progress

Teams can assign RFP sections to members, set due dates and track tasks on a dashboard. Updates are auto-saved and email notifications keep contributors informed. These tools are useful when responsibility is distributed across a response team, though they are less valuable to a solo writer.

Storage, offline work and signatures

Project files can live on a network drive, in SharePoint or in CorsPro-hosted cloud storage. Content is stored locally for offline library access, while desktop data synchronizes with the cloud; CorsPro-hosted files and synchronization use Amazon Web Services. The DocuSign integration sends Word, Excel and PDF documents for e-signature. Microsoft 365, SharePoint, AWS and DocuSign are among the technologies and integrations the maker identifies.

Pricing

The 14-day free trial costs nothing, requires no credit card and includes the same features as the Business Plan license. It is not a simple browser-based evaluation: installation is required on Windows, or on a Mac using Parallels or Boot Camp, with Microsoft Office for Windows installed. That requirement makes the trial a poor fit for Mac users who do not have that setup.

The Business plan is priced at 39.00 USD per month, billed per user, with a minimum of five users. It includes the full feature set and support, plus unlimited templates and proposals; integration services are not included. The five-seat floor makes this a substantial commitment for a small team even though the per-user price is clear. The Business Plan license also appears as a plan with a five-user minimum and custom pricing; buyers should distinguish that from the Business plan priced at 39.00 USD per month per user.

Enterprise has custom pricing and adds custom coding, custom integrations including Salesforce, custom database fields, sales forecasting, premium support and premium onboarding. It suits organizations that need tailored integrations or data fields and higher-touch implementation, rather than teams that can use the standard feature set. The Free Trial is 14 days; there is no ongoing free plan.

Platforms

The product is listed for macOS, web and Windows, and its core workflow is built into Microsoft Word and Excel. The trial’s Windows requirement is more restrictive than the platform list suggests: Mac evaluators need Parallels or Boot Camp and Microsoft Office for Windows. Offline access applies to the locally stored content library, while desktop data synchronizes with the cloud.

Who it's for

RFP Response Builder is best suited to teams that repeatedly prepare large, multi-section submissions and already rely on Microsoft Office. Shared content, assignments, due dates and automated assembly support a coordinated drafting process. Buyers should look elsewhere if they need a supplier portal or response scoring, want an ongoing free tier, or cannot meet the five-user minimum.

Pros and cons

Pro: Searchable content inside Word and an editable shared library put reusable material close to the response-writing workflow.
Pro: Section assignments, due dates, dashboard tracking and auto-assembly help teams coordinate lengthy submissions.
Pro: Network drive, SharePoint and hosted-cloud storage give teams multiple project-file options, with local content available offline.
Con: Business requires at least five users, which raises the entry cost for small teams and individual responders.
Con: The trial requires Windows desktop installation and Office for Windows, including for Mac users evaluating through Parallels or Boot Camp.
Con: There is no supplier portal or response scoring, leaving buyers who require either capability to find another tool.
Con: Integration services are excluded from the Business plan, while Enterprise customizations and premium services require custom pricing.

Verdict

Choose RFP Response Builder if your team works in Word and Excel, handles substantial recurring submissions and can use at least five seats. Its best reason to buy is the joined-up workflow from reusable library content through assignments to an assembled response. Look elsewhere if you are a solo or occasional responder, need supplier-portal or scoring features, or cannot meet the Windows-based trial requirements.
