Overview

SepticSync spans field operations and administrative work: teams can coordinate jobs, keep customer and property records, handle forms, and manage billing. That breadth is useful for septic businesses that want those tasks connected, while its municipality plan addresses provider filings and jurisdiction records. It is less compelling for a business seeking a low-cost general service tool without septic-specific needs.

Key features

County-form tools find septic forms, create fillable templates, and autofill them from customer, property, and job data. This can cut repeated entry for providers and municipalities. The free tier supports finding, filling, signing, and downloading forms, but does not save customer or property records or include scheduling and invoicing.

Field inspections can capture photos, GPS coordinates, signatures, and digital forms. SepticSync also says its AI examines inspection photos for issues such as cracks, corrosion, and root intrusion, with risk windows at 6, 12, and 24 months. That may help teams organize follow-up, but AI photo analysis is reserved for Pro and Municipality.

Growth adds two-way QuickBooks synchronization for invoices, payments, and customer records. The integrations page also lists parcel and tax-map data, FEMA flood zones, reported spill information, ownership-change flags, and delivery of completed forms to counties. These connections suit teams whose work depends on property and compliance context, rather than a basic scheduling-only workflow.

Security measures include TLS 1.3 for traffic, AES-256 encryption at rest for stored customer data, and database row-level security to scope organization data. SepticSync says it aligns practices with SOC 2 Type II controls but has not completed a formal attestation. Files used for Smart Migration or site-sketch recreation go to Anthropic for extraction; the provider says its commercial terms prohibit training models on that data.

Pricing

The free plan is free and covers county forms only. It is a fit for occasional paperwork, not for operating a service business: saved customer and property records, scheduling, and invoicing begin with Starter.

Starter costs 125.00 USD per month, billed month to month and auto-renewing monthly until cancelled. It supports up to 2 users and includes jobs, calendar and scheduling, customer and property records, estimates and invoicing, field photos, GPS and signatures, county forms, and email support. This is the practical entry tier for a small provider that needs both office records and field workflows; the two-user cap may rule it out for larger crews.

Growth costs 349.00 USD per month on the same monthly-renewal terms and supports up to 5 users. It includes Starter plus recurring work, a route planner, two-way QuickBooks sync, reports and job costing, automations, and priority email support. It fits businesses with repeat jobs or accounting needs, but costs substantially more than Starter and still caps users at five.

Pro costs 599.00 USD per month, month to month with monthly auto-renewal until cancelled, and allows unlimited users. It adds multi-crew dispatch, a customer portal, online booking and payments, AI photo analysis, and phone support. It is aimed at larger operations that need dispatch and customer-facing tools; smaller teams may not need enough of those additions to justify the jump.

The Municipality plan costs 999.00 USD per month, billed month to month and auto-renewing until cancelled. It includes digital provider filings, a cross-provider compliance dashboard, jurisdiction parcel records, provider license records, a certified lab directory, AI photo analysis, and a dedicated success manager. It targets towns and other jurisdictions rather than service companies.

Plumber Data Access costs 999.00 USD per year and renews annually. It provides annual county database lookup access, property lookup, parcel, flood-zone and spill history, and customer and property saving for licensed plumbers and contractors. It is a narrower, annual option for data access rather than a substitute for the monthly field-service plans.

Migration Assistance is a one-time add-on for projects, with pricing dependent on record volume and format. The plan price is shown as 5005000.00 USD per once, so confirm the applicable project fee before budgeting. A 14-day trial is offered.

Platforms

SepticSync is available on web and Android, with iOS also named as a platform. The field app is available on Android; the iPhone version is described as being with Apple for review. Crews that rely on iPhones should treat that gap as a practical constraint.

Who it's for

Pumpers, inspectors, testing labs, health departments, towns, and villages are among the intended users. Small providers can start with Starter, while recurring-service businesses with accounting and routing needs have a reason to consider Growth. Municipalities have a dedicated compliance-oriented tier. The free plan makes sense only when county forms are the main requirement.

Pros and cons

Pro: County forms can be populated from customer, property, and job data, reducing repeated entry for septic paperwork.
Pro: Plans extend from a forms-only free tier through field operations, QuickBooks synchronization, multi-crew dispatch, and municipal compliance tools.
Pro: Security practices include encrypted traffic and stored customer data, plus organization-level row security.
Con: Free users cannot save customers or properties, schedule jobs, or invoice, so core operations require a paid plan.
Con: Starter is limited to two users and Growth to five; larger teams must move to Pro for unlimited users.
Con: The field app's iPhone version is still under review, which may impede iPhone-dependent crews.
Con: SOC 2 Type II attestation is not complete, despite alignment with those controls.

Verdict

SepticSync is a strong fit for septic providers that need county paperwork connected to field jobs and customer records, or municipalities managing provider compliance. Its septic-specific workflow and tiered tools are the main reasons to choose it. Look elsewhere if a free operating system, an iPhone-ready field app, or completed SOC 2 attestation is essential.
