Overview

Zoho TeamInbox gives teams a shared place to manage messages and coordinate replies. It is strongest for small groups splitting a steady stream of email and social conversations. Its standout advantage is low-cost access to shared handling and automation; the main constraint is that the entry plans cap monthly conversations.

Key features

TeamInbox can bring email, WhatsApp, Telegram, Facebook Messenger, and Instagram messages into shared inboxes. Teammates can assign or delegate threads, comment, follow, snooze, and archive them, then sort conversations into views. Collision detection helps prevent two people from working the same reply, a practical safeguard when several agents share an inbox.

Internal chat, file sharing, shared drafts, and email co-authoring keep coordination alongside the conversation. Automated workflows can send auto responses or assign and sort threads. Those tools make the product more than a queue, though teams with elaborate routing needs should note the plan boundary: Starter has 25 rules, while Professional removes the rule limit.

Professional also includes analytics, personal incoming channels for each user, and more shared channels. Integrations include Zapier, Zoho CRM, n8n, Make, and Microsoft Power Automate; eWidgets connect services such as Zoho Desk, Asana, Trello, and Zoho WorkDrive. Zoho says email data is encrypted in transit and at rest, supports multi-factor authentication and admin-controlled inbox access, and provides activity logs for organization admins. It also says it follows rules and strategies for handling personal data and collects only information needed to operate the product.

Pricing

The Free plan is free and supports up to 3 users, 30 conversations per month, 5GB of storage, and one channel each for email, WhatsApp, Facebook Messenger, and Instagram DM. It is a useful trial of a small team workflow, but 30 conversations is a low ceiling for a working support or sales queue.

Solo costs 0.99 USD per month for one user, 500 conversations per month, up to 5GB of storage, and one channel each for those same four services. It offers a low-cost individual shared-channel setup, but not a multi-user team. Team costs 4.99 USD per month for up to 3 users and 1,000 conversations per month; Team Plus costs 7.99 USD per month for up to 5 users and 2,000 conversations per month. Both provide up to 5GB of storage and the same one-channel-per-service allowance. The higher tiers are a clearer fit for teams that need more seats and volume, though neither expands the listed channel count.

Starter and Professional have custom pricing. Starter includes 3 shared incoming channels, 10 shared outgoing email channels, internal discussions and draft sharing, and 25 rules. Professional raises those allowances to 5 shared incoming and 25 shared outgoing email channels, removes the rules cap, and adds analytics and personal incoming channels per user. Starter is the more restrained option for teams with straightforward workflows; Professional is aimed at teams that need more routing flexibility and reporting.

A 14-day free trial provides Professional features for up to five users and does not require payment information at signup. WhatsApp Business Accounts receive 1,000 free service conversations monthly; further service conversations require purchased credits, a separate usage cost to account for when WhatsApp is a major channel.

Platforms

TeamInbox runs on the web and has Android and iOS apps. Its mail platform is standalone, so teams should not assume it is an extension of an existing mail client.

Who it's for

TeamInbox fits small teams that distribute incoming messages and want assignments, internal discussion, and automated routing in one shared workspace. The free plan is suitable for a very small workload; the paid team tiers make more sense when seat and conversation caps become restrictive. Teams with high volumes should weigh those monthly quotas and WhatsApp credit needs before choosing it.

Pros and cons

Pros: Shared handling spans email and four social or messaging channels on the entry plans, so a small team can coordinate across more than email.
Pros: Assignment, collision detection, internal comments, and draft collaboration address the practical handoff problems of a shared queue.
Pros: A 14-day Professional trial for five users needs no payment information, making it possible to assess higher-tier workflows before committing.
Cons: The Free plan's 30-conversation monthly cap is likely to rule it out for teams with a regular support workload.
Cons: The listed Solo, Team, and Team Plus tiers retain a one-channel-per-service allowance and up to 5GB storage, even as seats and conversation quotas rise.
Cons: WhatsApp service usage above 1,000 free monthly conversations per account requires purchased credits.

Alternatives

For a broader comparison, see Shared Inbox Software. Choose Trengo if you need a paid service with Android, iOS, desktop, web, and API platforms; its listed Boost plan is 299.00 EUR per month billed annually for 10 users and 6,000 conversations per year. Drag is a paid alternative for teams that want shared inboxes in Gmail with Kanban, list, and preview board views; its Starter plan is 16.00 USD per month billed monthly.

Loop Email is another paid option, with a Starter plan at 18.75 USD per month billed monthly. Consider Help Scout if its free plan's five users, one Inbox, one Docs site, and 100 contacts per month suit your needs. Shared Inbox by Canary is a paid alternative whose Starter plan is 10.00 USD per month billed monthly and includes an AI chatbot with up to 100 training materials and 100 responses. Gmelius offers a paid Meli plan at 19.00 USD per month billed annually for up to five users and 5,000 email conversations per month. Helpwise starts with a Standard plan at 15.00 USD per month billed monthly, with a 2-user minimum, three shared inboxes, and email, live chat, and Facebook. Keeping is a paid alternative with an Essentials plan at 14.00 USD per user per month billed annually, or $19 billed monthly, and a two-user minimum.

Verdict

Choose Zoho TeamInbox if a small team needs to share incoming messages, coordinate drafts, and automate assignments without paying much to get started. Its combination of channel coverage and collaboration tools is the case for it. Look elsewhere if your workload will outgrow the conversation caps, if WhatsApp usage will incur substantial credit costs, or if you need more channel capacity than the entry tiers provide.
