Overview

Coast is a maintenance and asset-management platform for teams coordinating equipment upkeep and frontline work. It is strongest for deskless and SMB-focused teams that want work orders, maintenance schedules, and communication in one system. The free plan is a useful starting point, but its short history window and tight file cap are poor fits for teams that need a lasting maintenance record.

Key features

Work orders and team communication

Teams can assign and prioritize work orders, discuss them in real time, and attach photos or checklists. Keeping job context with the task should help teams coordinate work, while mobile photo capture gives staff a way to document jobs where they happen. Spare-parts inventory and technician time tracking add useful maintenance operations beyond basic task management.

Preventive maintenance and asset records

Schedules can recur by day, week, or month, with meter-based work and due-date alerts. QR codes bring up asset information and equipment status, a practical advantage when technicians need to identify equipment on site. The combination suits teams managing recurring upkeep; the free plan’s five-repeating-work-order cap may become a constraint as that program grows.

Reporting, integrations, and controls

Real-time equipment insights, custom dashboards, and maintenance-team efficiency and cost tracking give managers a view beyond open tasks. Zapier, an Open API, and integrations with IoT sensors and smart meters create options for connecting Coast to other workflows and equipment. Coast states that it is SOC 2 Type II certified and offers audit trails, electronic signatures, required fields, and user permissions for regulated workflows. It also says it does not sell personal information and accepts access, correction, and deletion requests through support.

Pricing

Coast offers a 7-day Pro trial to new signups without requiring a credit card. Afterward, a workspace can continue on Free or upgrade. All members of a workspace must use the same plan, so an organization cannot reserve paid access for only some team members.

Plan	Price	What it includes
Free	0.00 USD per free	Unlimited work orders, five repeating work orders, real-time messaging, seven-day history, and uploads up to 3 MB.
Starter	2.00 USD per month, billed per user / month; $1.80 with yearly billing selected	Unlimited history and repeating work orders with procedures, no file upload limits, workspace permissions, time and cost tracking, and five workflow automations.
Pro	4.00 USD per month, billed per user / month; $3.6 with yearly billing selected	Full workflow customization, reporting analytics, customizable external work request forms, automated work-order time tracking, unlimited custom dashboards, automated downtime tracking, and 30 workflow automations.
Enterprise	Custom pricing	Custom workflow development and reporting, multi-site management, single sign-on, escalation protocols, unlimited automations, and integrations.

Free covers unlimited work orders, but seven-day history and 3 MB uploads make it best for a small team evaluating the workflow rather than retaining detailed records. Starter is the more suitable step for teams that need unlimited history, recurring procedures, or larger files. Pro adds analytics and broader workflow customization for managers who need reporting and automation; Enterprise targets multi-site organizations needing tailored workflows or single sign-on. The per-user prices make the workspace-wide plan rule important: upgrading to unlock one capability means moving every member onto that plan.

Platforms

Coast supports Android, iOS, macOS, web, and Windows. Its native mobile app includes QR scanning and direct photo capture. Desktop support covers Windows 10 version 2004 or later, Windows 11, and macOS 12 or later.

Who it's for

Coast is a sensible choice for deskless maintenance teams and SMB-focused operations that need asset lookup, recurring work, task coordination, and team communication together. Teams with substantial audit or reporting needs can consider its controls and paid analytics. It is less suitable for organizations that need different plan levels within one workspace, or teams that must keep long histories and larger files without upgrading.

Pros and cons

Pros: Work orders combine assignment, priority, chat, and attachments, keeping coordination tied to the job.
Pros: QR asset lookup, meter-based schedules, and due-date alerts support field maintenance rather than just office task tracking.
Pros: Zapier, API, and hardware integrations provide routes to connect maintenance data with other systems and equipment.
Cons: Free history lasts only seven days and uploads are capped at 3 MB, limiting its usefulness as a durable record.
Cons: Free allows only five repeating work orders, a material limit for teams with many scheduled maintenance tasks.
Cons: Workspace members cannot mix plans, which reduces flexibility when only part of a team needs paid features.

Alternatives

For a broader set of maintenance-management options, browse CMMS Software. Choose NEXT CMMS if its free plan’s two-user limit, 10 active work orders, and 500MB attachment storage suit a smaller team better than Coast’s free-plan caps. Atlas CMMS is an alternative for readers seeking an open-source option. Azzier CMMS has a free plan capped at three users, 50 equipment records, and two locations, which may fit a tightly bounded operation. Maintainly is another freemium maintenance option. MaintainX offers a free Basic plan with unlimited work orders, procedures, and requester users, but limits work orders with attached procedures to two. Fiix may suit teams prioritizing a free plan with 25 active preventive-maintenance tasks and unlimited service requests. Maintenance Care is an alternative with a $250.00 USD per month yearly-priced plan that includes unlimited users, work orders, preventive maintenance, and assets. SuperCMMS is another option to compare.

Verdict

Choose Coast if your deskless or SMB maintenance team wants work orders, recurring upkeep, QR-based asset lookup, and communication in a single workspace, with room to add reporting and integrations. Its free plan can establish whether the workflow fits, but the history, file, and repeating-work limits make paid plans the practical choice for ongoing use. Look elsewhere if your team needs mixed plan levels or a free tier that preserves more history and larger attachments.
