Overview

Efalia HR ECM brings employee documents together and supports processes from onboarding through offboarding. Classification, configurable workflows and digital signatures can help teams apply consistent filing and approval practices. That breadth will suit organizations with established document processes, but may be unnecessary for teams seeking only a place to store employee files.

Search offers multiple criteria, saved searches, favorites and recently viewed items, useful for returning to records without relying on a fixed folder structure. Employees can retrieve payslips, contracts and certificates from a secure personal space at any time, reducing routine requests to HR.

Key features

Access and retention controls

Access can be partitioned and logged, including for medical and disciplinary information, while changes and access are recorded. This is a strong fit for HR departments that need to limit exposure of sensitive files and retain an activity trail. The permission model is custom, which supports tailored access but means organizations should establish their requirements before procurement.

Automated archiving rules can be set by document type, with alerts ahead of legal retention deadlines. That can reduce manual tracking across varied employee records; it is especially relevant to organizations managing large or sensitive archives.

Integrations and deployment

Named integrations include Sopra HR, Silae, Cegid, Sage HR and Office 365, with bidirectional synchronization possible through open APIs. Efalia says it can develop a connector when a requested one is not already listed, a useful option for organizations whose HR systems need to exchange data, though that may require a separate implementation discussion.

Customers can choose SaaS hosting or on-premise deployment through a maintained Virtual Appliance. The SaaS service relies in part on OVH infrastructure in France. This choice can accommodate different hosting preferences, although organizations should weigh the operational responsibility of on-premise deployment against hosted delivery.

Efalia says each application receives an independent penetration test at least annually, with automated regression and security tests for each major release. Its stated credentials include GDPR compliance, SecNumCloud infrastructure, Cyber Essentials Plus and a Secure by Design approach audited by Cybalgoris. Documentation, support and training resources are also provided.

Pricing

Efalia HR ECM: custom pricing, based on company size, storage, users and selected features. There is no published numeric price, so buyers will need a quote to compare the total cost against alternatives. This model may suit organizations whose storage and access needs vary substantially, but offers no simple entry price for smaller teams to assess.

Platforms

Efalia HR ECM supports Android, iOS, Linux, macOS and Windows, as well as web access, APIs and self-hosted deployment. The mix covers employee mobile access and organizational integration, with on-premise installation available for buyers that do not want SaaS hosting.

Who it's for

The product is aimed at HR directors and managers, recruiters, payroll managers, team leads, employees, training managers and HR lawyers. It is most compelling for organizations that need to manage document handling across these roles, especially where retention rules and sensitive records call for tighter controls. A team that wants a lightweight HR system with an immediately comparable subscription price should look elsewhere.

Pros and cons

Pros: Document classification, workflows and signatures cover several stages of employee-document handling in one system.
Pros: Document-specific retention rules and deadline alerts reduce the burden of tracking archival obligations manually.
Pros: Logged, partitioned access and employee self-service balance confidentiality with routine employee access.
Pros: SaaS and maintained on-premise deployment give organizations a choice of hosting model.
Cons: Custom pricing requires a quote, making quick cost comparisons difficult.
Cons: The breadth of controls and workflows may be excessive for organizations that need only basic employee-file storage.

Alternatives

HR Document Management Software is a useful starting point for comparing products in the same category.

IceHrm is worth considering for teams seeking a freemium HR system with employee profiles, attendance, payroll, documents, projects and reports, rather than Efalia's specialized document-management focus.

SovoHR offers a free plan for up to one employee and a Micro plan for up to five, so it may fit very small teams that prioritize a defined low-cost starting point.

Zoho People has a free plan for five users and web and mobile apps, making it an option for small teams that need general HR software with no-cost entry.

Sesame HR may suit buyers looking for a paid HR product with a free trial and Android, iOS, web and API access.

Sense HR is another paid, trial-available option with web and mobile platforms for teams comparing general HR tools.

Dapplon Policy Distribution is an alternative for buyers focused on policy distribution.

Deputy may be preferable when the priority is scheduling and timesheets, with a per-user Lite plan.

RootHR is another paid HR option, with a Business Starter plan priced for organizations of up to 15 employees.

Verdict

Efalia HR ECM is a strong candidate for organizations that need controlled employee-document processes, retention automation and a choice between SaaS and on-premise hosting. The combination of audit controls and employee self-service is its clearest reason to choose it. Look elsewhere if a published, easy-to-compare price or a simpler HR file store matters more than configurable document governance.
