In their own words
SubDoc
SubDoc is a web portal for tracking contractor certificates of insurance and business licenses in vendor compliance workflows. Its AI reads uploaded certificates to extract policy numbers, carriers, dates, and coverage limits, then fills review fields. Vendors and brokers can submit documents through secure links without accounts or vendor fees. Teams can preview PDFs, compare uploaded limits with requirements, and approve, reject, or issue reasoned waivers. SubDoc tracks document expirations and sends renewal reminders; policy dates can also sync to Google Calendar across workspaces. Pro and Advanced include QuickBooks and Sage accounting exports, webhooks, and Zapier integration. Those plans can also flag invoices for payment holds when a policy has expired or an endorsement is missing. The free Starter plan is free and allows three tracked vendors, one workspace, one team seat, one project, five invoices per month, and 100 MB of storage. Pro is listed at $14 a month for the first three months, then $20 a month. SubDoc says documents are encrypted at rest with AES-256 and data in transit uses TLS 1.3.
VendrVault
VendrVault collects vendor certificates of insurance, W-9s, and licenses, reads documents, and reminds teams before paperwork expires. It is described for property managers tracking insurance across buildings and general contractors checking subcontractor coverage and licenses before mobilization. Vendors can upload files through an emailed link without creating an account or paying. AI extracts details such as expiration dates and coverage limits from certificates and licenses; W-9s are not sent to AI. Admins can correct AI readings and make every approval or rejection. Reminders go out 30 days before expiry, 7 days before expiry, and after expiry, with at most one reminder each day. Vendor documents are visible only to the customer’s company. VendrVault is web-based and has a free plan for up to 10 vendors. Paid options are Starter at $49 a month for 50 vendors, Growth at $149 a month for 150 vendors, and Pro at $349 a month for 500 vendors. Each plan has a monthly quota for AI document reads. New companies get 14 days of Growth without a card, and annual billing includes two months free. Higher plans add auto-review, fix requests, contracts, audit export, verification, and insights.
